Privacy Notice | Recruitment and Contracting

The UK Open Government Network (UK OGN) is a civil society network hosted by the charity Involve (registered charity number 1130568).

As UK OGN is not a legal entity, Involve acts as the data controller for any personal information collected through UK OGN activities, including recruitment or engagement of freelancers and contractors. This notice explains how data collected through UK OGN is used in line with Involve’s Privacy Policy.

1. What information we collect

When you apply to work with us or express interest in a freelance or contract role, we may collect:

  • Your name and contact details

  • Curriculum vitae (CV), covering letter, and references

  • Details of your skills, experience, and qualifications

  • Information relating to right-to-work, financial details (for payment) and any relevant correspondence

2. How we use your information

We process this data in order to:

  • Assess your suitability for a freelance or consultancy role

  • Communicate with you during the selection process

  • Set up and manage a contract if you are appointed

  • Comply with our legal and financial obligations as a charity

The lawful bases for processing this information are:

  • Legitimate interests (recruiting and managing contractors); and

  • Pre-contractual necessity (taking steps prior to entering into a contract).

3. Data sharing and storage

Your personal information will be stored securely using Involve’s cloud systems (Google Workspace) and only accessible to authorised staff or members of the UK OGN project team involved in the recruitment process.

We will not share your data with any other third party unless required by law or necessary for contract management (e.g. payroll or accounting services used by Involve).

4. Data retention

We will retain your application materials for no longer than six months after the completion of the recruitment process, unless you become a contractor or give explicit consent for us to keep your details for future opportunities.

After this period, your personal data will be securely deleted.

5. Your rights

Under UK data protection law, you have the right to:

  • Request access to your personal data

  • Ask for inaccuracies to be corrected

  • Request erasure of your data (where applicable)

  • Object to or restrict processing
